NetSuite for Advertising and Marketing Agencies
Projects, Retainers, and Margins on a Single Platform
Cloudmaven implements NetSuite for advertising, digital, and marketing agencies in the DACH region. From pitches to creative resource management, retainer billing, and project margin analysis to group consolidation – one system for the three business models that agencies use to generate revenue: retainer, project, and time and materials.
Why NetSuite is the ERP System for Advertising and Marketing Agencies
Agencies juggle three complexities at once: a mix of retainer and project-based work, limited creative resources with varying skill sets, and margins that can quickly take a hit if scope creep isn’t identified early on. Spreadsheets and siloed solutions work for up to 50 employees – after that, control breaks down. NetSuite combines these three dimensions into a single platform: SuiteProjects for project and resource management, SuiteBilling for retainer and recurring billing, and integrated financial accounting and CRM. Cloudmaven implements these solutions for agencies in the DACH region using best practices derived from real-world agency projects.
Retainer, project, and time-and-materials all at once:
Three business models in one system, without any workarounds.
Creative Resource Management:
Skills-based assignment of designers, strategists, developers, and content creators – with true forecast depth.
Margin transparency by client, project, location, and discipline:
Where does the agency really make money, and where is one account subsidizing another?
Multi-Currency, Multi-Subsidiary:
Streamlined Group Consolidation for International Network Agencies and Holding Structures.
Benefits of NetSuite for Advertising and Marketing Agencies
Three billing models in one system
Retainers (recurring billing via SuiteBilling), fixed-price projects, and time-and-material projects are all managed in the same database – including automatic revenue recognition for each model.
True Customer Profitability
Margins by client, project, discipline, and location are calculated in real time. The uncomfortable question, “Are we actually losing money on Client X?” can be answered based on facts.
Creative Resource Forecasting
Who is available next week? Which skills will be in high demand in three months? SuiteProjects provides the answers – instead of relying on resource managers’ gut feelings.
Multi-Currency Client Billing
International customers in USD, GBP, and CHF are accurately billed, consolidated, and reported. Exchange rate differences are automatically posted.
Scope creep becomes apparent early on
Actual vs. budgeted hours, out-of-scope tasks, and budget burn-down are visible in real time. Escalation discussions with clients are based on data, not on memories.
Scalable for network and holding company structures
Several agency brands, locations, and subsidiaries operate within a single NetSuite instance with group-wide consolidation. M&A integrations become significantly easier.
Common Challenges in Advertising and Marketing Agencies – Solved with NetSuite
Agencies face specific operational and financial challenges that generic ERP systems do not address. NetSuite solves the five most common ones:
A mix of retainer and project-based business
Retainer accounts in Excel, projects in Asana, billing in a separate tool – that works for up to about 50 employees. After that, the system breaks down. NetSuite consolidates all billing models into a single database.
Margin Erosion Due to Scope Creep
Creative work is open to iterations – but each round costs money. NetSuite displays real-time burndown versus budget data, enabling data-driven escalation discussions.
Fragmented Tool Landscape
Google Sheets, Toggl/Harvest, a separate accounting tool, a resource management tool, and a project management tool – that’s 5+ tools that don’t communicate with each other. NetSuite consolidates them.
Limited creative resources
Designers, strategists, and developers are expensive and hard to find. Without skills-based forecasting tools, bottlenecks aren’t identified until it’s too late – or top talent isn’t being fully utilized. SuiteProjects solves both problems.
Multi-client billing in multiple currencies
International customers, local tax rules, consolidated group reporting – all in a single NetSuite instance, instead of using spreadsheets to bridge the gap between accounting and reporting.

FAQs – NetSuite for Advertising and Marketing Agencies
Agencies need an ERP system that supports three business models simultaneously: retainer billing (recurring), fixed-price projects, and time and materials. At the same time, it must be capable of creative resource forecasting and multi-currency client billing. NetSuite is the only Tier 1 cloud ERP in the DACH market that natively meets these requirements – without a separate billing tool or Excel workarounds.
Retainers are managed as subscriptions via the SuiteBilling module: monthly or quarterly recurring invoices, automatic pro-rata calculations for mid-year start dates, upgrades and downgrades, renewals, and cancellations. The hours worked in parallel in SuiteProjects are charged against the retainer budget – out-of-scope work is clearly identified and can be billed separately.
NetSuite SuiteProjects offers skills-based resource planning with real-time availability data. Designers, strategists, developers, and content creators are modeled based on their skills and roles; planning can be done on a weekly, monthly, or project basis. Dashboards display capacity utilization, bottlenecks, and underutilization – by discipline, team, and location.
Experience has shown that implementation is worthwhile for companies with approximately 30 – 50 employees, because at that size, spreadsheets and siloed tools become too difficult to manage operationally. For holding companies or network agencies with multiple brands, NetSuite is often worthwhile even earlier, because group consolidation delivers immediate value.
NetSuite has an open REST/SOAP API. Standard integrations with Asana, Monday.com, or Jira are available via SuiteCloud connectors or iPaaS solutions. Creative tools such as Figma or Adobe are generally not integrated directly with the ERP – instead, we synchronize project management tools in which tasks and time are tracked anyway.
NetSuite automatically calculates customer profitability by allocating all costs (employee hours at internal cost rates, expenses, and third-party services) to revenue by customer. Dashboards display margins by customer, discipline, project, and location. This puts an end to the debate over “Which customers are truly profitable?” – based on data rather than gut feeling.

What is NetSuite SuitePeople? The challenge with HR data is rarely the data itself, it’s where it lives. NetSuite SuiteProcurement brings the full procure-to-pay cycle into one system. Requisitions…
